Job Description
The Project Manager will be in the Office of Facilities, Infrastructure, and Risk Management (FIRM) within the Dean’s Office of the School of Medicine Basic Sciences (VBS) at Vanderbilt University. The candidate will report to the Assistant Dean of FIRM and will be responsible for coordinating numerous projects with demanding deadlines, placing/managing work requests and vendor orders, compiling/maintaining data to generate reports, meeting with faculty, staff, vendors, and contractors to assess project requests/requirements, and managing REDCap/SharePoint tools. This position requires someone who can multi-task, communicate effectively, and organize a busy schedule with duties covering over 300k FT2 of space in a dozen buildings across campus.
About the Work Unit:
The School of Medicine Basic Sciences has approximately 1,100 faculty, fellows, students, and staff. It is a dynamic work environment focused on cutting-edge research and education. VBS research programs make new discoveries every day - discoveries that enrich our understanding of biological processes and provide the foundation for new insights into the causes, prevention, diagnosis, and treatment of human diseases. FIRM was created four years ago in response to growing demands for ensuring all work environments are maintained to the highest standards, modified/built out as needed, and safe for all personnel, vendors, and guests. Office oversight includes renovations, new construction, building maintenance, IT installations and institutional VUIT projects, space, capital assets, environmental health and safety, and ongoing special projects as directed by the Dean.
Duties and Responsibilities
- Prepare and distribute reports for the Assistant Dean of FIRM
- Serve as our office’s liaison for initial requests for assistance, project needs, and facility needs
- Build, modify and monitor RedCap surveys that support FIRM’s needs
- Master and employ tools for documenting the storage of requests, work orders, and other records
- Oversee the FIRM’s digital and equipment surplus program
- Help manage lab startups; lab moves, and lab closeouts
- Work with our VUIT Relationship Manager to oversee IT installations related to FIRM projects, including 10Gb data lines
- Manage FIRM’s shared email account and respond accordingly to requests
- Assist with the design of FIRM’s website and ongoing maintenance of webpages where critical information, notifications, and contact information will be posted for public view
- Call vendors, VUMC Facilities Management, VU Plant Operations to request updates on pending estimates, work orders, and various requests and report progress to internal and external stakeholders
- Manage all VU/VUMC facility outage notifications and communicate these to personnel in impacted areas
- Oversee incoming requests for building key card access to MRB3/LL
- Administer the FIRM’s key management system and work with business units to ensure processes are compliant
Qualifications
- Bachelor’s Degree preferred or commensurate work experience is necessary
- RedCap experience is preferred
- Knowledge of Vanderbilt systems is preferred
Supervisory relationships
This position reports to the Assistant Dean. This position does not have supervisory responsibility.
