Job Description

The Associate Oracle Application Administrator is a crucial member of the Enterprise Applications team at Vanderbilt University, responsible for the maintenance, configuration, and support of Vanderbilt’s Oracle Cloud Finance (ERP) and Human Capital Management (HCM) systems, along with other assigned ancillary systems. This role plays a vital part in partnering with operational leaders in Finance, Human Resources, and Information Technology to ensure seamless system operations and to support the achievement of business goals through effective system configuration.

Duties and Responsibilities :

Managing Work Processes

  • Manages work and small projects with guidance, engaging with team members, and coordinates testing.
  • Identifies and proactively communicates issues and opportunities for improvement
  • Communicates with assistance to all levels within the university; consummate team player able to work effectively up, down and across the university
  • Builds and maintains strong working relationships with university stakeholders
  • A bias for action even in the face of ambiguity and complexity.
  • Attacks everything with drive and energy; drives to finish everything he/she starts. Is effective and efficient at marshalling multiple resources to get things done; lays out tasks in sufficient detail to mark the trail; is able to get things done with less and in less time; can work on multiple tasks at once without losing track; foresees and plans around obstacles.
  • Is an effective process, workflow, and systems designer; is good at figuring out what to measure to track progress; can quickly diagnose and fix a workflow problem; always looking for incremental process improvement.
  • Adapts easily to changes in technology and process
  • Models intrinsic integrity and excellent professional judgment while exhibiting unquestioned discretion with highly sensitive and confidential information

System Knowledge

  • Maintains an extensive understanding of Oracle Cloud functions and related connections among all parts of Oracle Cloud
  • Understands integrations between Oracle Cloud and other systems used at Vanderbilt
  • Serves as expert in Oracle Cloud configuration
  • Holds an extensive understanding of other supported systems

System Configuration

  • Translates the institution’s business needs into the appropriate configuration with assistance, or where those needs cannot be met, work with leaders to find suitable alternatives
  • Monitors release notes for impact of upcoming system changes and communicates as necessary
  • Assists with detailed system testing for process changes and quarterly releases
  • Works collaboratively within team, functional leaders, and information technology to prioritize change requests

User Support

  • Manages the Oracle Cloud ticket queue by directly handling routine requests and triaging issues that need escalated support
  • Identifies recurring and major issues
  • Serves as escalation point for end-user support requests
  • Provides ongoing support to functional teams
  • Serve as source of truth for system functionality
  • Assists with management of Oracle Service Requests (SRs)

Supervisory Relationships:

This position does not have supervisory responsibility. This position reports administratively and functionally to the ERP/HCM Associate Director.

 

Qualifications:

  • Bachelor’s degree is necessary
  • 1 year of relevant experience with demonstrated progressive responsibility is necessary
  • Experience working in ticketing systems (Oracle HR Help Desk, ServiceNow, Jira, etc.) is necessary
  • Cloud HCM, ERP, P2P, PPM experience is preferred
  • Demonstrated commitment to VUIT’s Guiding Principles is necessary
