Job Description
The Systems Analyst is part of the Education Design and Informatics team within the Office of Health Sciences Education (OHSE) at Vanderbilt University School of Medicine, and is a key individual contributor responsible for providing technical support for OHSE's applications and instructional technology, providing extensive support for MD program exams, acting as team purchaser, training end users, reviewing new products with hardware and software vendors, providing expert-level technical guidance to users, serving as Education Design and Informatics liaison with VU IT for monthly server patching, and participating in ongoing professional development. Reporting directly to the Technology Operations Manager, the Applications Administrator frequently collaborates with technology experts in VU IT and VUMC IT to resolve technical support issues in the School of Medicine. This position is a hybrid role, with three days on-site and two days remote every week.
About the Work Unit:
The Office of Health Sciences Education (OHSE) administers degree programs of the Vanderbilt University School of Medicine. The dedicated staff in OHSE work to provide a range of support including academic program administration, educational design and informatics, financial and administrative oversight, and student services. Our mission is to educate diverse, socially and culturally accountable future health-related professions leaders. Our students gain the knowledge, skills, and attitudes they will need to practice safe, effective, ethical, evidence based, and patient/client-centered health care. They are prepared to work toward larger systemic changes, understand social determinants of health, and promote equity and justice within their local and global communities.
Key Functions and Expected Performance:
- Provides technical support and testing for OHSE’s applications and instructional technology (including VSTAR, Poll Everywhere, Qualtrics, REDCap, Aperio, Echo360, etc.) by monitoring support tickets and interfacing with our end-users in-person or virtually.
- Provides extensive support for MD program exams as required by Curriculum 2.0, working with students to troubleshoot computer issues, working with VUIT and VUMC IT technical teams, and communicating with the NBME (National Board of Medical Examiners) technical team.
- Conducts in-person and virtual training sessions on a variety of instructional technology (including homegrown and third-party software) to build a foundation of knowledge; develops resources to improve our users’ knowledge and efficiency in our instructional technology.
- Reviews new products with software and hardware vendors and works with Education Design and Informatics leadership to make informed purchase decisions to OHSE leadership.
- Provides technical guidance to faculty, staff, and students by assisting with special projects and interpreting test data.
- Serves as Education Design and Informatics liaison with VUIT for monthly server maintenance, communicates patching schedules and updates to Education Design and Informatics and end users, and participates in monthly patching to bring Education Design and Informatics apps online post-patch.
- Serves as the Education Design and Informatics team purchaser for a variety of goods and services via Oracle Procurement and/or One Card, ensuring keen attention to detail and compliance with Vanderbilt University policies and guidelines; keeps track of software maintenance and renewals, and works with VUIT on vendor risk assessments.
- Serves as Guest Travel Coordinator for the Associate Dean of Education Design and Informatics, assisting with travel booking and coordination, as needed
- Actively identifies and participates in training, education, and development activities to sustain and enhance professional development, keeping up with on trend technological innovations.
Education and Certifications:
- A Bachelor’s degree in a related field from an accredited institution of higher education is necessary.
- A Bachelor’s degree in Computer Science, Computer Information Systems, or a related field is preferred.
Experience and Skills:
- 3+ years of professional experience working with multiple technologies is necessary.
- 3+ years of experience using instructional technology such as learning management systems (Moodle, Brightspace, Canvas), lecture capture, and classroom audio visual technology is preferred.
- 3+ years of experience teaching and/or training users is preferred.
- 3+ years of experience using Microsoft 365 apps is preferred.
- 1+ year of experience using Asana or other project management software is preferred.
- 1+ year of experience using ExamSoft or similar software is preferred.
- Basic understanding of the Linux operating system, including common commands is necessary.
- System knowledge in Adobe Creative Cloud applications, Adobe Captivate, and Articulate Storyline, or comparable applications is strongly preferred.
- Comfort and agility working in a remote/distributed team environment, demonstrating the ability to collaborate effectively across multiple time zones and countries is necessary.
- Adaptability in learning new platforms and tools quickly and efficiently, with a strong ability for self-directed learning and application in fast-paced environments is necessary.
- Being a self-starter is necessary.
- Strong analytical, troubleshooting, and problem-solving skills are necessary.
- The ability to work in multiple complex projects simultaneously, and rapidly adapt to change in a fast paced environment is necessary.
